Official Travel Dates: July 24–31, 2027
Destination: Leblon — Rio de Janeiro, Brazil
Terms Version: 1.0
Last Updated: September 2026
These Terms & Conditions (“Terms”) govern bookings and participation in the Nova Geração Brazil Trip — Edition III (“Brazil Trip”).
By completing a booking and accepting these Terms, the participant acknowledges the booking, pricing, payment, accommodation, cancellation, refund, No-Show, program and participation conditions applicable to the selected package.
These Terms should be read together with the applicable package description, booking summary, payment schedule, Privacy Policy and any specific conditions expressly presented and accepted during the booking process.
Nothing in these Terms is intended to exclude, waive or restrict any mandatory right that cannot legally be excluded, waived or restricted under applicable law.
1. ABOUT THE BRAZIL TRIP
The Nova Geração Brazil Trip — Edition III is an international Brazilian Jiu-Jitsu, hospitality, cultural and travel experience scheduled to take place in Rio de Janeiro, Brazil, from July 24 through July 31, 2027.
The program combines accommodation, Brazilian Jiu-Jitsu activities, scheduled experiences in Rio de Janeiro, transportation associated with included activities, participant assistance and other services expressly identified as part of the selected package.
The Brazil Trip is designed for the Nova Geração community, Brazilian Jiu-Jitsu practitioners, professors, instructors, academy members, partners, family members, friends and other registered participants.
Participation in BJJ training is not mandatory for non-training guests unless a particular activity expressly requires participation.
2. ORGANIZATION, LOCAL HOSPITALITY & SERVICE PROVIDERS
The Brazil Trip is organized in association with Nova Geração BJJ and Master Francisco “Toco” Albuquerque, with Carioca21 Hospitality & Tourism Experiences acting as the local hospitality, tourism, experiences and participant-support partner in Rio de Janeiro.
Certain elements of the Brazil Trip may be provided directly, coordinated, reserved or operated through independent service providers, including accommodation providers, transportation companies, attractions, activity operators, restaurants and other tourism suppliers.
The applicable responsibilities of the organizers, Carioca21 and each supplier will be determined according to the nature of the service, these Terms and applicable law.
3. OFFICIAL TRAVEL DATES
The official Brazil Trip period is:
- Arrival: July 24, 2027
- Departure: July 31, 2027
The package includes 7 nights of accommodation during the official stay.
Services requested before July 24 or after July 31, 2027, are not automatically included and may be arranged separately through Carioca21, subject to availability, confirmation, applicable rates and additional charges.
4. BOOKING & CONFIRMATION
Submission of a registration, booking request or payment does not necessarily constitute final confirmation of every requested accommodation or service.
Depending on the stage of the booking process, a reservation may have one of the following statuses:
- REGISTRATION RECEIVED
- PAYMENT PENDING
- PAYMENT RECEIVED — ACCOMMODATION PENDING FINAL CONFIRMATION
- BOOKING & ACCOMMODATION CONFIRMED
- ACTION REQUIRED
- ROOMMATE INFORMATION REQUIRED
- MANUAL REVIEW
- CANCELLED
A booking should be considered fully confirmed only after the participant receives the applicable Booking & Accommodation Confirmation.
The date identified in that confirmation as the Booking Confirmation Date will be used, where applicable, to calculate the commercial cancellation periods established in these Terms.
The booking system should not be interpreted as guaranteeing real-time accommodation inventory unless real-time availability is expressly stated.
5. PACKAGE RATES
Package rates are quoted per person according to the selected accommodation category, occupancy and commercial booking period.
Package prices are not necessarily fixed throughout the entire sales period.
Prices may change as the Brazil Trip moves from the Early Bird Rate to subsequent commercial booking periods.
The rate applicable to a new booking will be the rate officially available when the participant completes the applicable reservation and initial payment requirements and the booking is accepted.
Viewing a package, requesting information, adding a package to the cart or beginning checkout does not secure the displayed price.
Package rates may change between commercial booking periods as described in Section 10 — Booking Periods, Early Bird Rates, Subsequent Rates & Availability.
A subsequent price increase applicable to new bookings does not alter the Total Package Value of an earlier properly confirmed booking, except where a participant subsequently requests a change requiring repricing under these Terms.
6. DOUBLE OCCUPANCY & PACKAGE PRICING
Published base package rates are quoted per person and based on Double Occupancy.
For Double/Couple and applicable Twin configurations, two paying participants share the accommodation, and each participant pays the applicable per-person package rate.
For example:
- US$ 2,795 per person
- Rate Basis: Double Occupancy
- US$ 2,795 × 2 Participants = US$ 5,590 Total Package Value
Each registered paying participant is entitled only to the services and benefits applicable to that participant under the confirmed package.
7. PRIVATE ROOM USE — ONE PARTICIPANT
Where available, one participant may reserve and occupy a room privately.
For Private Room Use, the published per-person rate remains based on Double Occupancy and the full Double Occupancy package value applies.
Only the actual guest will be registered as a participant.
Payment of the full Double Occupancy package value by one participant does not:
- create a second participant registration;
- create a second entitlement to accommodation;
- entitle another person to participate in activities; or
- create additional transportation, admissions, meals or other package benefits for another person.
There is no separate discounted Single Occupancy rate unless expressly offered in writing for a particular package.
8. TWIN & TRIPLE OCCUPANCY
Twin accommodation is available only in room categories expressly offering a Twin configuration.
Triple Occupancy is available only in eligible room categories.
Where Triple Occupancy is offered, three paying participants share the eligible accommodation, and each participant pays the applicable per-person package rate.
Triple Package Value = Applicable Per-Person Package Rate × 3 Paying Participants.
No separate Triple surcharge applies unless expressly disclosed before booking.
Room configurations remain subject to the permitted capacity and bedding arrangements of the selected accommodation category.
9. CHILDREN & FAMILY POLICY
Families are welcome subject to the capacity, accommodation, transportation and safety requirements applicable to the selected package.
ONE child aged 0–3 years inclusive per room/reservation may stay complimentary, sharing the existing accommodation and without an additional bed.
Any additional child aged 0–3 years is considered a regular paying participant and will be charged the applicable package rate.
All children aged 4 years and older are regular paying participants.
Age is determined as of July 24, 2027.
The child’s date of birth will be required during registration and supporting documentation may be requested where reasonably necessary.
A complimentary child does not count as a paying participant for package-pricing purposes.
Complimentary status does not override room capacity, transportation, activity or safety requirements.
If a family configuration is incompatible with the selected accommodation, another room category, additional accommodation or assistance from the Carioca21 Concierge may be required.
10. BOOKING PERIODS, EARLY BIRD RATES, SUBSEQUENT RATES & AVAILABILITY
The Nova Geração Brazil Trip may be offered through different commercial booking periods, with different package rates and booking conditions applicable to each period.
Package prices are not necessarily fixed throughout the entire sales period.
As one booking period ends, closes or is replaced, the applicable package price may increase, and previous commercial conditions may no longer be available.
10.1 EARLY BIRD RATE
The first commercial booking period is scheduled to begin on September 21, 2026, and will be offered as the:
EARLY BIRD RATE
The Early Bird Rate may remain available for up to 30 calendar days, subject to availability, demand, accommodation inventory, event capacity and applicable commercial conditions.
The maximum expected Early Bird period does not guarantee that the Early Bird Rate will remain available for the entire 30-day period.
It may be closed, replaced or withdrawn earlier according to availability, demand, inventory, event capacity or applicable commercial conditions.
10.2 SUBSEQUENT COMMERCIAL RATES
After the Early Bird Rate ends or closes, the Brazil Trip may move to one or more subsequent commercial booking periods.
Each subsequent booking period may have a different and potentially higher per-person package rate than the previous period.
The applicable price for each accommodation category will be the price officially displayed and available for booking during the relevant commercial period.
A participant who did not successfully complete the applicable booking and initial payment requirements while a previous rate was available is not entitled to request or recover that previous rate after it has expired, closed or been replaced.
The transition from one commercial rate to another does not constitute an increase to an already confirmed booking. It represents a change in commercial conditions applicable to new bookings during the subsequent period.
10.3 DURATION OF COMMERCIAL BOOKING PERIODS
Each commercial booking period may remain available for up to 30 calendar days, but may close or change earlier according to availability and demand.
The existence of an estimated or maximum booking period does not guarantee availability through its final calendar day.
Rates, accommodation inventory, availability and booking conditions may change before the maximum period expires.
10.4 SECURING A COMMERCIAL RATE
Merely:
- viewing a package;
- adding it to the cart;
- beginning registration;
- requesting information;
- contacting the Concierge; or
- beginning but not completing checkout
does not secure the displayed rate.
A commercial rate is secured only after the applicable booking and initial payment requirements have been successfully completed and the booking has been accepted.
10.5 RATE PROTECTION FOR CONFIRMED BOOKINGS
Once a booking has been properly confirmed at an applicable commercial rate, a subsequent increase in the published price of that same package will not, by itself, change the Total Package Value already confirmed for that participant.
A participant who properly secures an Early Bird Rate therefore retains the confirmed package rate even if a higher rate is subsequently published for new bookings.
Rate protection applies to the confirmed booking as originally contracted.
Participant-requested changes to room category, occupancy, accommodation configuration, participants or other material elements may require repricing according to the availability, price difference and commercial conditions applicable to the requested change.
10.6 INSTALLMENT PLANS & SECURED RATES
Selecting an approved installment plan does not, by itself, increase the confirmed Total Package Value.
When a participant properly secures a commercial rate and selects an available installment plan, the confirmed Total Package Value will be divided according to the payment option accepted at checkout.
Subsequent higher rates for new bookings will not alter that Total Package Value, provided the participant complies with the agreed payment schedule and these Terms.
If a booking is cancelled due to payment default, however, the previously secured Early Bird or other commercial rate is lost.
Any subsequent reinstatement or new booking is subject to current availability and the rates and commercial conditions applicable at that time.
10.7 ROOM CATEGORY RATE DIFFERENCES
Each accommodation category may have its own applicable per-person package rate.
The commercial rate applicable to one room category does not establish or guarantee the rate applicable to another.
Any upgrade or change of room category requested after booking may require payment of the applicable price difference and remains subject to availability and confirmation.
10.8 AVAILABILITY & EARLY CLOSURE
All commercial rates remain subject to accommodation inventory, event capacity and availability.
A particular accommodation category may become unavailable before the end of a commercial booking period.
The unavailability of one category does not require the organizers to provide another category at the same price.
Where another category is available, it may be offered at its applicable rate.
10.9 ON REQUEST
After the published commercial booking periods have ended, remaining packages, if any, may be offered as:
ON REQUEST — SUBJECT TO AVAILABILITY
Availability, package rates, accommodation options, payment conditions and booking requirements may then be individually confirmed according to the conditions applicable at the time of the request.
Previous Early Bird or expired commercial rates do not automatically apply.
10.10 COMMERCIAL RATE DISCLOSURE
Before completing a booking, the participant should be shown the applicable:
- Booking Rate
- Per-Person Package Rate
- Rate Basis / Occupancy
- Total Package Value
- Amount Due at Booking
- Selected Payment Option
- Remaining Balance
- Future Installments
- Applicable Due Dates
The commercial rate and payment conditions accepted during checkout will form part of the participant’s booking record.
11. PAYMENT OPTIONS
Available payment options may include:
PAY IN FULL — 100%
100% of the Total Package Value at booking.
THREE PAYMENTS — 50% + 25% + 25%
50% at booking, followed by two installments of 25% each.
FOUR PAYMENTS — 25% + 25% + 25% + 25%
25% at booking, followed by three installments of 25% each.
The exact installment amounts and applicable due dates will be displayed before booking confirmation.
By selecting an installment plan, the participant accepts responsibility for payment of the full Total Package Value according to the schedule accepted at checkout.
12. LATE OR MISSED INSTALLMENT PAYMENTS
Failure to pay an installment by its applicable due date places the booking in payment default.
The participant may be contacted using the information provided during registration and given an opportunity to regularize the outstanding payment.
If an overdue installment remains unpaid for 30 calendar days after its original due date, the organizers may cancel the reservation and release the accommodation, event capacity and services previously reserved for that participant.
Amounts previously paid may be applied toward applicable operational expenses, taxes, fees, administrative costs, supplier commitments, reservation guarantees and other non-recoverable costs already incurred or committed as a result of the confirmed booking, to the extent permitted by applicable law.
Any remaining balance, if refundable under these Terms and applicable law, will be determined only after applicable costs and commitments have been calculated.
Cancellation due to payment default terminates the obligation to continue holding accommodation, event capacity, transportation, admissions, activities or other services for that participant.
If a booking is cancelled due to payment default, any previously secured Early Bird or other commercial rate is lost.
Any subsequent reinstatement or new booking will be subject to current availability and the rates and commercial conditions applicable at that time.

Transfers may operate by Executive Sedan, Van, Minibus or another appropriate vehicle according to the final operational arrangement.
Included transfers do not constitute unlimited individual private transfers for every flight or arrival/departure time.
Final recommended arrival and departure windows will be communicated separately.
Participants using the official transfer operation must provide complete and accurate flight information.
Unless another deadline is communicated, flight information should be submitted at least 20 days before the beginning of the Brazil Trip.
Arrivals or departures outside the official dates or applicable transfer conditions may be arranged separately through Carioca21, subject to availability and additional charges.
16. OFFICIAL PROGRAM & ACTIVITY CHANGES
The official program represents the intended Brazil Trip experience but remains subject to reasonable operational adjustments.
Schedules, activities, routes, venues, instructors, transportation arrangements and sequence of activities may be changed, rescheduled, substituted or cancelled when reasonably necessary due to weather or sea conditions, safety considerations, operational requirements, supplier or attraction availability, transportation or traffic conditions, decisions by public authorities, force majeure, natural events or other circumstances beyond the reasonable control of the organizers.
Whenever reasonably possible, the organizers may adjust the schedule, reschedule an activity or provide an appropriate alternative to preserve the overall quality and continuity of the Brazil Trip experience.
Participant safety and responsible operation will always take priority over maintaining an originally published schedule.
Changes, rescheduling, substitution or cancellation of individual activities do not, by themselves, constitute cancellation of the Brazil Trip as a whole.
Such operational changes do not automatically create entitlement to refunds, credits, reimbursement or compensation except where required by applicable law or expressly provided in these Terms.
17. WEATHER & SAFETY-DEPENDENT ACTIVITIES
Certain activities, including the Private Boat Experience and other outdoor, maritime or weather-sensitive experiences, depend on appropriate operational and safety conditions.
The final operational decision may be made by the responsible operator, organizers and/or competent authorities, as applicable.
An activity may be adjusted, rescheduled, substituted or cancelled when weather, sea, visibility, safety or operational conditions make the originally planned activity inappropriate.
Safety decisions will take priority over maintaining the original schedule.
18. OPTIONAL EXPERIENCES
Optional experiences are not automatically included unless expressly identified otherwise.
Carioca21 may assist participants with additional experiences including helicopter flights, hang gliding, Favela Social Experience, e-bike experiences, hiking, surfing, private BJJ experiences, private boat or yacht experiences, gastronomy, samba and cultural experiences, private Rio experiences, day trips, restaurant assistance, additional transportation and pre- or post-trip arrangements.
Optional experiences are quoted and charged separately and remain subject to availability, supplier confirmation, applicable prices and operational, weather and safety conditions.
19. STATUTORY RIGHT OF WITHDRAWAL
Where applicable under Brazilian consumer law, a consumer completing a booking online may exercise the statutory right of withdrawal within the legally applicable period.
Where such statutory right applies, any refund will be processed in accordance with mandatory applicable law.
Commercial deductions for taxes, payment-processing charges, administrative expenses, supplier commitments or other costs will not be applied where, and to the extent that, such deductions are prohibited by mandatory applicable law.
Nothing in these Terms is intended to waive, restrict or reduce any statutory consumer right that cannot legally be waived, restricted or reduced.
20. PARTICIPANT CANCELLATION & COMMERCIAL REFUND POLICY
Commercial cancellation periods are calculated from the Booking Confirmation Date recorded for the participant’s confirmed booking.
20.1 CANCELLATION WITHIN THE FIRST 7 CALENDAR DAYS
A participant requesting cancellation within 7 calendar days following the Booking Confirmation Date may be eligible for cancellation and refund of amounts paid.
Where the cancellation constitutes exercise of a statutory right of withdrawal under applicable Brazilian consumer law, the refund will be processed according to mandatory applicable law.
Where the cancellation is not governed by a mandatory statutory right requiring different treatment, the refundable amount may be calculated after deduction of applicable operational expenses, taxes, payment-processing charges, administrative costs, supplier charges and other non-recoverable amounts effectively incurred or committed in connection with the confirmed booking, to the extent permitted by applicable law.
20.2 CANCELLATION FROM 8 TO 21 CALENDAR DAYS
For a valid cancellation request received between 8 and 21 calendar days after the Booking Confirmation Date, up to 50% of the amounts paid may be eligible for refund.
The refundable amount will be calculated after applicable deductions permitted under Section 21.
20.3 CANCELLATION FROM 22 TO 30 CALENDAR DAYS
For a valid cancellation request received between 22 and 30 calendar days after the Booking Confirmation Date, up to 25% of the amounts paid may be eligible for refund.
The refundable amount will be calculated after applicable deductions permitted under Section 21.
20.4 MORE THAN 30 CALENDAR DAYS AFTER BOOKING CONFIRMATION
For cancellation requests received more than 30 calendar days after the Booking Confirmation Date, amounts paid are:
and do not generate future-use credit, rescheduling credit or other financial compensation, subject to mandatory applicable law.
20.5 CANCELLATION REQUEST
All cancellation requests must be submitted in writing through the official contact channel designated for the Nova Geração Brazil Trip.
The date on which a valid written cancellation request is received will determine the applicable cancellation period.
21. REFUNDS, DEDUCTIONS & NON-RECOVERABLE COSTS
Whenever a commercial refund is due or otherwise approved under these Terms, the refundable amount will be calculated after deduction of applicable operational expenses, taxes, payment-processing charges, administrative costs and other non-recoverable amounts effectively incurred or committed in connection with the confirmed booking, to the extent permitted by applicable law.
Applicable deductions may include:
- taxes and governmental charges;
- payment gateway or credit card processing fees;
- banking or international transaction costs;
- supplier cancellation charges;
- accommodation commitments;
- reservation guarantees or deposits;
- admission and ticketing costs;
- transportation commitments;
- administrative and operational expenses; and
- other amounts already incurred, paid, committed or made non-recoverable as a result of the confirmed booking.
Only the resulting refundable balance, after applicable deductions, will be eligible for reimbursement.
The refund calculation may take into consideration amounts actually paid, the applicable cancellation period, services already delivered, costs and commitments associated with the confirmed booking, supplier conditions and mandatory rights provided by applicable law.
Where appropriate, the participant may receive a summary of the applicable refund calculation.
This deduction policy does not apply where mandatory applicable law requires a different refund treatment.
22. NO-SHOW, FAILURE TO ATTEND & NON-REFUNDABLE BOOKINGS
A No-Show occurs when a participant fails to attend the Nova Geração Brazil Trip, fails to check in for confirmed accommodation or fails to use the booked and confirmed services without having completed an eligible cancellation within the applicable cancellation period.
22.1 NO REFUND OR FUTURE CREDIT
A No-Show does not generate any:
- refund;
- reimbursement;
- future-use credit;
- rescheduling credit;
- automatic transfer to another edition; or
- other financial compensation.
Amounts previously paid in connection with a No-Show booking will not be transferred to another trip, future edition, participant, service or travel date unless expressly authorized in writing by the organizers.
This policy reflects accommodation reservations, supplier commitments, transportation arrangements, admissions, activity capacity, operational expenses, taxes, fees, administrative costs and other commitments that may have been secured or incurred in advance because of the confirmed booking.
22.2 CANCELLATIONS OUTSIDE THE APPLICABLE REFUND PERIOD
A participant cancellation submitted after the refundable cancellation periods established in Section 20 is likewise NON-REFUNDABLE.
Once the applicable refundable period has expired, amounts paid do not generate a refund, reimbursement, future-use credit or rescheduling credit, subject to mandatory applicable law.
22.3 LATE ARRIVAL, EARLY DEPARTURE & VOLUNTARY NON-USE
Late arrival, early departure, a decision not to travel, a decision not to participate in an included activity or voluntary non-use of any confirmed service does not create a right to a partial or total refund, reimbursement or future-use credit.
No refund or credit will be provided for voluntarily unused portions of the confirmed package.
Late arrival or early departure does not reduce the confirmed Total Package Value.
22.4 PARTICIPANT DOCUMENTATION
Failure to obtain or maintain passports, visas, travel authorizations or other required participant documentation does not, by itself, create a right to refund or future-use credit outside the applicable cancellation policy, subject to mandatory applicable law.
22.5 RELEASE OF RESERVED SERVICES
Once a participant is considered a No-Show, the organizers and applicable suppliers are not required to continue holding unused accommodation, transportation, activity capacity, admissions or other services.
Such services may be released, cancelled or reallocated without creating entitlement to reimbursement or credit.
22.6 DISTINCTION FROM ORGANIZER CANCELLATION
This Section applies to circumstances attributable to the participant and does not govern cancellation of the Brazil Trip by the organizers under Section 23.
23. CANCELLATION OF THE BRAZIL TRIP BY THE ORGANIZERS
If the Nova Geração Brazil Trip is cancelled in its entirety, or becomes substantially impossible to deliver, for reasons directly attributable to and within the reasonable control of the organizers, affected participants will be informed.
As a first resolution option, the organizers may offer the participant credit for future use.
Depending on the circumstances, such credit may be applied toward a rescheduled Brazil Trip, a future Nova Geração Brazil Trip edition or another eligible service or arrangement expressly offered for this purpose.
The applicable credit value, validity period and conditions of use will be communicated to the affected participant.
If a future-use credit or suitable alternative arrangement is not accepted or cannot reasonably be provided, any refund or other remedy due will be determined according to the circumstances, amounts actually paid, services already provided where applicable, these Terms and mandatory applicable law.
This Section is separate from circumstances involving Force Majeure or events beyond the reasonable control of the organizers.
24. FORCE MAJEURE & EVENTS BEYOND REASONABLE CONTROL
Subject to applicable law, the organizers will not be considered responsible for failure, delay, interruption or material modification caused by circumstances beyond their reasonable control.
These may include severe weather or natural events, acts or restrictions imposed by public authorities, significant transportation disruption, public-safety emergencies, closure or unavailability of essential venues or infrastructure, extraordinary public-health events, civil disturbance or other extraordinary circumstances that could not reasonably have been prevented or controlled.
The organizers may first seek to reschedule, reorganize, substitute or otherwise preserve the Brazil Trip experience.
Where the Brazil Trip cannot reasonably proceed, the organizers may propose a future-use credit, rescheduling arrangement or another appropriate solution, taking into consideration services already provided, amounts recoverable from suppliers, non-recoverable commitments, operational circumstances and mandatory rights under applicable law.
25. TRAVEL DOCUMENTS & ENTRY REQUIREMENTS
Each participant is responsible for verifying and obtaining all documentation required for travel to and stay in Brazil, including, where applicable, a valid passport, visa, travel authorization, documentation for minors, vaccination or health documentation and other applicable entry requirements.
Requirements may vary by nationality and individual circumstances and may change.
Participants are responsible for checking current requirements with the appropriate governmental and/or consular authorities.
Failure to obtain required documentation does not automatically create entitlement to refund and remains subject to Sections 20–22 and mandatory applicable law.
26. TRAVEL INSURANCE
Travel insurance is not included unless expressly stated otherwise.
Participants are encouraged suggested to evaluate appropriate travel insurance, including but not limited to coverage for medical emergencies, trip interruption, cancellation, baggage and other travel-related risks.
27. HEALTH, PHYSICAL CONDITION & PARTICIPANT RESPONSIBILITY
Participants are responsible for determining whether they are physically able to participate safely in their selected activities.
Participants should disclose relevant dietary restrictions, allergies or other requirements where reasonably necessary for operational planning.
Brazilian Jiu-Jitsu and certain physical, outdoor or maritime activities may involve inherent risks.
Participants should comply with applicable safety instructions provided by instructors, guides, operators and organizers.
28. PARTICIPANT CONDUCT
Participants are expected to behave respectfully towards other participants, instructors, staff, suppliers, accommodation personnel and members of the local community.
Participants must comply with applicable laws, accommodation rules, activity safety requirements and reasonable operational instructions.
Serious misconduct, unlawful behavior, harassment, violence or conduct materially threatening the safety or well-being of others may result in removal from an activity or the program, subject to applicable law.
29. THIRD-PARTY SERVICES
Certain services included in or associated with the Brazil Trip may be provided by independent third-party suppliers.
The organizers and Carioca21 may coordinate, reserve, contract, intermediate or facilitate such services.
Independent suppliers remain responsible for operating their respective services according to applicable professional, technical, licensing, regulatory and safety obligations.
Nothing in these Terms is intended to exclude or restrict any responsibility assigned by applicable law.
30. ADDITIONAL NIGHTS & SERVICES OUTSIDE THE OFFICIAL PERIOD
Additional accommodation, transportation, tours, activities or other services before July 24 or after July 31, 2027, may be requested separately.
They are not automatically part of the official package, remain subject to availability and confirmation, may have separate prices/payment conditions and may be subject to the applicable supplier’s terms.
31. PERSONAL DATA & PARTICIPANT INFORMATION
Personal information collected during registration and booking may be used for purposes reasonably necessary to organize and deliver the Brazil Trip, including reservation processing, accommodation coordination, rooming arrangements, transportation, participant communication, operational planning, payment administration and appropriate emergency or safety-related coordination.
Personal information will be handled in accordance with the applicable Privacy Policy and applicable data-protection requirements.
32. PHOTOS, VIDEO & EVENT MEDIA
Photos and video may be produced during the Brazil Trip for event documentation, community communication and promotional purposes.
Use of participant image, voice or other identifiable personal information remains subject to applicable law and any consent or authorization required for the intended use.
Where separate consent is required, acceptance of these Terms alone does not replace that consent.
33. COMMUNICATIONS
Participants are responsible for providing accurate and current contact information.
Email and WhatsApp may be used for operational communications, including booking information, payment notices, accommodation information, flight and transfer coordination, program updates, meeting points, schedule changes, safety information and participant assistance.
34. CARIOCA21 CONCIERGE & LOCAL ASSISTANCE
Participants will have access to Carioca21 local participant assistance during the official stay.
24/7 local assistance refers to access to the participant-assistance channel and does not mean that every attraction, supplier, restaurant, transportation provider or optional activity operates 24 hours a day.
Optional services requested through the Concierge may involve additional charges.
35. CHANGES REQUESTED BY THE PARTICIPANT
Requests to change participant details, accommodation configuration, room category, travel dates, additional services or other elements of a confirmed booking are subject to availability, operational feasibility, supplier conditions, applicable price differences, administrative or supplier costs and confirmation.
A requested change is not effective until expressly confirmed.
A participant-requested change does not automatically preserve a previous promotional rate, accommodation category, supplier condition or availability.
36. PRICES, TAXES, FEES & CURRENCY
Package prices will be displayed in the currency applicable to the relevant offer.
Applicable taxes, fees and payment-related charges will be treated according to the applicable booking conditions and disclosed where required.
International cards, banks or payment methods may impose currency-conversion, international transactions or banking charges independently.
Such independently imposed charges are outside the organizers’ control.
37. REFUND PROCESSING
Where a refund is determined to be due, it will be processed according to the applicable payment method, operational procedures, payment-provider conditions and applicable law.
Except where mandatory law requires different treatment, the refundable amount will be determined under Sections 20 and 21.
Processing time may vary depending on the payment method, financial institution, payment provider and circumstances outside the reasonable control of the organizers.
38. MANDATORY CONSUMER RIGHTS
Nothing in these Terms is intended to exclude, waive or restrict any consumer right or remedy that cannot legally be excluded, waived or restricted.
Where a provision conflicts with mandatory applicable law, the mandatory provision will prevail to the extent of that conflict without necessarily invalidating the remaining provisions.
39. TERMS VERSION & CHANGES
The version of these Terms accepted at booking should be recorded in connection with the reservation.
Material changes applicable to an already confirmed booking should not retroactively remove mandatory rights or materially alter confirmed commercial conditions except where legally permitted or expressly agreed.
Administrative, clarifying, operational or legally required updates may be made to the website version when appropriate.
40. ACCEPTANCE OF TERMS & CONDITIONS
Before completing the booking and payment process, the participant must acknowledge acceptance of these Terms.
The participant must have access to the applicable Terms before completing the transaction.
Electronic acceptance should be recorded together with the booking information, acceptance date and time, Booking ID and applicable Terms Version.
41. IMPORTANT CANCELLATION & NO-SHOW NOTICE
IMPORTANT — CANCELLATION & NO-SHOW POLICY
Refund eligibility is determined according to the cancellation periods established in these Terms & Conditions.
Cancellations made after the applicable refundable period are NON-REFUNDABLE.

Mandatory consumer rights remain unaffected.
